Access another person's mailbox Office 365

As long as you have been granted permission to access another person's mailbox, you can access it.

Here are some scenarios to consider:

  • Managers need assistants to monitor emails on their behalf. An assistant can view a manager's mailbox.

  • Managers need assistants to monitor specific folders in their mailboxes. As a result, an assistant who has been granted permission to view a specific folder in a manager's mailbox can only see the contents of that folder.


Microsoft 365 email accounts and Microsoft Exchange-based email accounts are the only ones that can use this feature.


It is assumed that you have already been granted permission to access the email account of the other person in this article.


Access to another person's mailbox Office 365


Outlook desktop automatically displays the mailbox for which you have been granted access to your folder list. Adam Barr has been granted access to Kim Akers' mailbox in the example below. Adam's Outlook desktop folder list automatically displays Kim's mailbox.



You can add another person's mailbox to your Outlook Web App folder list.


Each time you open the Outlook Web App after completing this procedure, the person's mailbox for which you have been granted access will appear in the folder list.

  1. You can access your mailbox using Outlook Web App.

  2. You can add a shared folder by right-clicking your name on the folder list.

  3. Type the name of the mailbox to which you have been granted access in the Add shared folder dialogue box.

  4. Your Outlook Web App folder list shows the mailbox.

    You will only see the folders in the mailbox of the other user if you have been granted access to them.


If you decide you no longer want to see the other person's mailbox every time you open the Outlook Web App, right-click the folder and choose Remove Shared Folder.


View another person's mailbox in the Outlook Web App in a separate window

You can open another person's mailbox in a separate browser window if you do not want to add their mailbox to your folder list in Outlook Web App.


  1. Use Outlook Web App to access your mailbox.
  2. Click on your name in the Navigation bar at the top of the Outlook Web App screen. There will be a drop-down list. Open another mailbox by clicking on it.
  3. Click Open and type the email address of the other mailbox you wish to open.
  4. Outlook Web App opens a separate window for the other person's mailbox.


Unless you are granted access to specific folders in the mailbox of another user, you will only see those folders.



You can display a mailbox that you frequently access in your Outlook Web App mailbox folder list if you have been granted access to it.
